Share files with a client

Keep a client's contracts, briefs and reports in Timebun, next to their work, and share them through the client portal when they're ready. Every file you upload stays Internal until you share it.

Upload files

  1. Open the client from Clients and click the Files tab.
  2. Open the project or folder the files belong in, or stay on All files for files about the client as a whole.
  3. Click Upload.
  4. Tick Share with the client if they should see the files straight away. Leave it off to keep them internal.
  5. Click Choose files and pick one or more. They go up one after another, and each shows Uploaded when it's done.
  6. Click Done.

Each file can be up to 50 MB. You can upload PDFs, Word, Excel and PowerPoint files, OpenDocument text and spreadsheets, CSV, TXT and RTF files, images (JPG, PNG, GIF, WebP and HEIC) and ZIP files. Other kinds are refused with That kind of file cannot be uploaded.

Share or make a file internal

The Client access column says whether a file is Shared or Internal. To change it, click ⋯ on the file and choose Share with client or Make internal.

  • A shared file appears on the client's Files page in their portal.
  • A file on a project that's hidden from the client stays out of their portal, even when it says Shared. See What clients can see.
  • Files a client uploaded themselves carry a Client upload badge. They're always shared and can't be made internal.

Who gets an email

  • When you share files, everyone at the client who can sign in to the portal gets one email a couple of minutes later, headed … shared a file with you and listing the new files, with an Open your files button. Share several files close together and they arrive in one email. A file is only ever announced once. If nobody at the client has been invited to the portal yet, the email waits until someone has.
  • When a client uploads files, the people looking after that client under Our team get an email headed … uploaded a file. If nobody is assigned, every Admin and the Owner (shown as Portal admin in the app for now) gets it. Each file's name in the email is a link that opens that file. Open their files takes Admins and the Owner to the client's Files tab; anyone else goes to the project's page when the files are all in one project, and otherwise to the client's conversation in the Inbox (or to Track when client messaging is off).

Files on the project page

A project that belongs to a client has a Files card at the bottom of its page, listing that project's files. Click a file's name to open it in a new tab, or Download to save it. Upload adds files to the project, and Admins and the Owner see Open in client files to manage them on the client's Files tab.

Who can do what

  • Admins and the Owner see every client's Files tab: upload, share, link, rename, move, delete and restore.
  • Team members see a project's files on the project page when they're on its Team, or when they look after its client. They can open, download and upload files there. A Team member who also looks after the client can tick Share with the client when uploading.
  • Clients see only shared files, in the portal. See Your files in the portal.

An archived client's files can still be opened and downloaded, but nothing new can be uploaded or shared.
