Organise client files

A client's Files tab works like a folder on your computer. Only Admins and the Owner (shown as Portal admin in the app for now) can open it.

How the tab is laid out

  • All files is the top. It holds files about the client as a whole, your folders, and one entry for each project that has files, with how many it holds.
  • Click a project or a folder to open it. The path at the top takes you back.
  • Files are listed newest first, with their Size, when they were Added and who Uploaded by.
  • Click a file's name to open it in a new tab. PDFs and images (JPG, PNG, GIF and WebP) open in the browser; everything else downloads. To always save a copy, click ⋯ and choose Download.

Search

Type in Search … files to find files by name across the whole client, every project included. Each result shows which project it's on. Clear the search to go back to browsing.

Folders

  • Create one: open the place it belongs, click New folder, type a Name and click Create folder. Folders can sit inside other folders.
  • Rename one: click ⋯ on the folder and choose Rename.
  • Delete one: click ⋯ and choose Delete. Only an empty folder can be deleted. Move or delete what's in it first.

Two folders in the same place can't share a name.

Rename a file

  1. Click ⋯ on the file and choose Rename.
  2. Type the new Name and click Rename.

Leave the extension off and the file keeps its own: renaming scan.pdf to Engagement letter gives Engagement letter.pdf. Names can't contain / or \.

Move a file

  1. Click ⋯ on the file and choose Move.
  2. Pick a folder, or Top level to take it out of its folder.
  3. Click Move here.

A file moves between folders of its own project, or between the client's general folders. It can't move to another project or client this way.

When a project changes

  • Moving a project to another client takes its files and folders with it. Every file becomes Internal at the new client (except files that client uploaded themselves), so nothing reaches their portal until you share it there, and any links to those files stop working.
  • Taking the client off a project leaves its files with the same client, at the top level. Your own files become Internal; the client's own uploads stay shared.
