Read your statement of hours

If you buy hours from your agency in advance, they may send you a statement of hours once or twice a month. It shows how many hours you had, what was added, what was used and what's left. It covers hours only, not money; your invoices cover that.

The email

It's sent to the people at your organisation who receive your agency's invoices, with the subject Statement of hours for the period from your agency's name. It gives:

  • Opening balance, Hours added, Hours used and Closing balance;
  • hours that ran past your balance, hours billed directly, hours that expired and adjustments, when there are any;
  • a View statement button;
  • the entries, attached as a CSV file you can open in Excel, Numbers or Google Sheets.

The statement page

Click View statement. You don't need to sign in. The page shows a Summary, then the detail:

  • Hours added — each block of hours, with the invoice it was paid on, if any.
  • Hours used — every entry by project, with date, person, description and hours, a Subtotal per project and Total used.
  • Hours beyond the balance — work done after your hours ran out. It's billed on an invoice instead, and each entry says Billed on invoice and the number, or Not yet invoiced.
  • Hours billed directly — work billed on an invoice at its own rate, not taken from your hours.
  • Hours expired, Adjustments, and Adjustments to earlier periods — changes to time from a period you already had a statement for. An earlier statement never changes; the difference shows up on the next one.

Hours are decimals: 1.50 h is an hour and a half. Click Download CSV at the bottom to save the entries.

The link works for 90 days; the email tells you until when. After that the page says This link has expired. Ask your agency to resend it, or open it in your portal.

Anyone you forward the email to can open the link, so forward it only to people who should see your hours.

In your portal

If you sign in to your agency's portal, Statements appears in the menu once you've had your first one. It lists every statement with its Period, Issued date and Closing balance. Click one to open it, and Download CSV to save it. Statements in the portal don't expire. See Sign in to your portal.
