Set your rates

Every billable hour gets a price from the rates you set. Hours are priced when the entry is saved, and that price stays with the entry.

Only Admins and the Owner (shown as Portal admin in the app for now) can open Settings → Billing → Rates.

Rate cards

A rate card is a named price for an hour, such as "Senior" or "Design". Each card can carry one price per currency, so the same card serves clients billed in dollars and in euros.

  1. Go to Settings → Billing → Rates and click New rate card.
  2. Enter a Name.
  3. Enter a price in each currency you sell this card in, for example USD / hour. Leave a currency blank if the card isn't sold in it.
  4. Click Create card.

To change a price, click the pencil next to the card. The new price applies to work from now on; hours already recorded keep the rate they were priced at.

Archive a card you no longer use. People already on it keep billing at it; it just isn't offered to anyone new.

Put people on a card

In the People table on the same page, choose a card under Bills at for each person. You classify people rather than pricing them one by one, so repricing "Senior" is a single edit.

Costs

The Costs column is what each person costs you per hour, in your base currency. It's what makes the Margin report possible. A new cost applies from today; past entries keep the cost that was true when the work happened.

The default hourly rate

Default hourly rate (under When nothing else answers) is the price of last resort. It only prices work billed in your base currency. Leave it empty and an hour nothing else can price shows as Unpriced rather than billing at a figure nobody chose.

How a project picks a rate

On a project page, choose its Rate:

  • Flat rate — every hour bills at the project's Flat rate, whoever tracked it.
  • By person — each person bills at their own card. If they have no card in the client's currency, the client's own hourly rate applies, then the default hourly rate.
  • Client rate — every hour bills at the client's own hourly rate, and nothing else. If the client has no rate, the hours stay unpriced.

A client's own rate is Hourly rate in the client's Edit details. It also prices overage: see How balances work.

Unpriced hours

An entry with no price carries an Unpriced badge and is left off invoices. Give it a rate (on the client, the project or the person), then click Price now on the entry. Setting a rate never re-prices existing entries by itself.
