Send an invoice and who receives it
Timebun emails every invoice it raises, from your agency, the moment you finalise it. Stripe doesn't send invoice emails or reminders.
Who receives it
- The client's primary contact — always.
- Every contact marked Receives invoices on the client's People tab. See Client contacts and invoice recipients.
- Your own copy address, if you set one under Settings → Billing → Invoicing → Send a copy of every invoice to. The copy says who the invoice went to. Reminders and statements of hours are not copied.
A client with nobody to receive invoices shows a No recipient badge on the Invoices page, and the invoice page says No invoice recipient with a link to add one.
Finalise and send
- Open the draft and check its lines.
- Click Finalise and send.
- The dialog says the amount and who it goes to. Click Finalise and send to confirm.
Stripe gives the invoice its permanent number, its lines can no longer be changed, and the email goes out. This can't be undone — a finalised invoice can only be voided or corrected with a credit note (Credit notes).
The email has the invoice number, the amount and the due date, a Pay invoice button that opens Stripe's payment page, and a link to download the PDF (The invoice PDF and payment page).
If nobody was emailed
- Nobody was emailed: Client has no invoice recipient. The invoice is still finalised. Add a recipient on the client's People tab, then click Remind now on the invoice — the first time, it sends the invoice itself rather than a reminder.
- The email could not be sent. Click Remind now to send it straight away. If reminders are switched on, Timebun also tries again within a day.
See what was sent
The Mail card on a finalised invoice lists every send — Sent, Reminded or Copy sent — with the date and who sent it (or automatic). Each address shows its state:
- Sent — handed to the mail service.
- Delivered — reached the inbox's server.
- Bounced — the address refused it. Fix the contact's email and send again.
- Not sent — the mail service didn't accept it. Click Remind now, or wait for Timebun to retry within a day if reminders are on.
