Import your data from Harvest
The Harvest import brings a Harvest account's clients, projects, activity codes, people and time into your workspace. You usually do it once, the week you switch over. It only reads from Harvest: nothing in your Harvest account is changed, and your team can keep working there while it runs.
Only the Owner (shown as Portal admin in the app for now) sees the Harvest import tab.
The import is included in Unlimited and Enterprise, and in your free trial. On Starter the tab says Not on this plan: nothing can be imported, but past imports stay listed and you can Disconnect a Harvest account that's still connected. See Timebun's plans.
What you need
A Harvest personal access token made by a Harvest administrator, and its Account ID. An ordinary member's token only sees their own time, so Timebun refuses it.
- Sign in to Harvest as an administrator and open id.getharvest.com/developers.
- Choose Create new personal access token and name it.
- Copy the token and the Account ID shown on the same page.
Run the import
Go to Settings → Workspace → Integrations and open the Harvest import tab. The wizard has five steps.
- Connect — paste the Personal access token and Account ID, and click Connect. Check the account shown is the right one, then click Continue.
- Scope — optionally set a Date range (it only limits time entries). Leave Bring time entries over on. Only turn on Mark everything as already billed if you'll never invoice any of this time from Timebun. Click Continue.
- People — decide for each Harvest person: Import, Skip, or Link to a colleague already in Timebun. Someone who already has a Timebun account at another agency can be given a Seat here. Sort out any row the page flags as still needing a decision, then click Continue.
- Preview — optionally click Rehearse without writing to see the full report with nothing saved, or Skip the rehearsal.
- Import — check the summary and click Start the import.
It runs in the background. You land on its report, which updates as it goes; you can leave and come back from Past imports.
What comes over and what doesn't
- Comes over: clients (with Harvest's invoice contact as their primary contact), projects, activity codes, people and time entries. Time already invoiced in Harvest arrives marked billed.
- Stays in Harvest: invoices and payments, and expenses.
- Retainers: Harvest has none, so every billable project arrives as Billed directly.
After the import
The report lists anything under Needs your attention (for example, Harvest's per-person and per-task rates, which don't come over — set those rates again in Timebun, see Set your rates), then What to do next:
- Set up your retainers before your team tracks new time. An entry's billing is fixed when it's finished. See Retainers, plans, bundles and tiers.
- Tell imported people how to get in. People you chose to Import get a new account but no email. They join as Team members and sign in with Forgot your password? on the sign-in page, or with Sign in with Google or Sign in with Microsoft on that same address. Change roles under Settings → Workspace → People.
- Catch up on cut-over day. Time tracked in Harvest after the import isn't in Timebun yet. Email support@timebun.com and we'll run a catch-up sync that brings over only what changed.
People you gave a Seat are the exception: they already have a Timebun account, so they get an email saying the import added them to your workspace, and they sign in as they always do. Nobody else is emailed.
Running the import again is safe: records already here are matched, not duplicated.
To remove the stored Harvest credentials, click Disconnect. Nothing already imported is removed.
