What Timebun is and how it's organised

Timebun is time tracking for agencies and firms that sell their time — by the hour or on a retainer — with billing and a client portal built in.

Here is how the pieces fit together.

Your workspace

Everything your agency does in Timebun lives in one workspace: your people, your clients, your time and your invoices. Its name appears at the top of the sidebar.

One sign-in can belong to several workspaces — for example, if you work for two agencies. Each workspace is separate, and you switch between them from the sidebar. See Sign in and switch workspaces.

Time entries

A time entry is a block of time someone worked: a description, a start and an end (or a duration), and whether it's billable. You record time with a timer on the Track page, which is where you land when you sign in, or by entering it by hand.

An entry doesn't need a project. You can start a timer first and decide where the time belongs later.

Clients and projects

A client is someone you do work for. A project belongs to a client and groups the work you do for them. Projects are optional — they help you organise and report, but time can exist without one.

Rates, retainers and balances

Every billable hour has a price, set on Settings → Billing → Rates.

A client can pay as they go (hourly), or buy hours in advance:

  • Plans — a recurring retainer that gives the client a set number of hours each period.
  • Top-up bundles — one-off blocks of hours the client can buy themselves.

Hours bought in advance make up the client's balance. Billable time draws the balance down; time beyond it is billed separately.

Invoices

Timebun raises invoices through your own Stripe account, straight from the unbilled time for a client. Clients receive them by email and pay online.

The client portal and the inbox

If you choose, your clients can sign in to their own portal to see their balance, the work done, their invoices, and to buy more hours. You decide per project what they see, and entries are never shown while the timer is still running.

When client messaging is on, each client has one conversation thread with your team, in the Inbox.

Who can do what

Each person has a role — Owner (shown as Portal admin in the app for now), Admin, Team member or Client — which decides what they see. See Roles and permissions.
