Roles and permissions

Everyone in a workspace has one of four roles. The role decides which pages they see and what they can change. Your role can be different in each workspace you belong to.

The four roles

  • Owner — owns the account. Full access, including billing and workspace settings.
  • Admin — manages clients, projects, rates and invoices.
  • Team member — tracks time and works on assigned projects.
  • Client — sees their own hours, balance and invoices in the portal.

The Owner role is still labelled Portal admin in the app, for example on the People page and in Change role. It's the same role; the app will switch to Owner soon, and nothing about what it can do changes.

Team members and Admins are invited from Settings → Workspace → People (see Invite your team). Clients are invited from their client's page (see Invite clients to the portal). Only an Owner can make someone else an Owner, using Change role on the People page.

Everyone can change their own Profile, Security and Notifications settings.

Paying for Timebun is the Owner's alone. A workspace with more than one Owner lets any of them subscribe or change the plan, and each gets the emails about the Timebun bill. See Subscribe to Timebun.

Whose time can people see?

  • Team members see their own time. An Owner can let them see colleagues' hours with Team members can see colleagues' time on their projects at Settings → Work → Time tracking. That only opens the projects they've been added to under Team on the project page; everywhere else they still see only their own time. Even then, they never see what the time is worth.
  • Admins and Owners always see everyone's time, what it bills at and what it costs.

Which clients can a Team member message?

A Team member sees a client's conversation in the Inbox only when they're assigned to that client under Our team on the client's page. Admins see every client's conversation. The Inbox appears only when client messaging is turned on.

Clients

A person with the Client role never sees your agency's side of Timebun. They sign in to the client portal and see only their own organisation — and only what you've chosen to share. See What clients can see.
