Invite your team

Invite the people who track time and run clients at your agency from Settings → Workspace → People. Only Owners (shown as Portal admin in the app for now) and Admins can see this page.

To invite a client instead, do it from that client's page — see Invite clients to the portal.

Send an invitation

  1. Go to Settings → Workspace → People.
  2. Click Invite member.
  3. Enter their Email and, if you like, their Name.
  4. Choose a Role: Team member (the default) or Admin. See Roles and permissions for the difference.
  5. Click Send invitation.

They get an email with an Accept invitation button. The invitation stays open for 14 days and appears on the list as Pending until they accept.

What your colleague sees

When they open the link:

  • New to Timebun — they enter their name, choose a password and click Accept invitation.
  • Already have a Timebun account (for example, at another agency) — they click Go to sign in, sign in, and are brought back to click Join and your workspace's name. They don't need a second account.
  • Signed in as someone else — Timebun shows Wrong account; they sign out and open the link again.

If the link has run out, they see Invitation expired — send a new one.

Didn't get the email?

  • Check spam or junk. The subject is You've been invited to and your workspace's name.
  • Send it again. There's no resend button for team invitations: invite the same email address again. The new invitation replaces the old one, with a fresh 14 days.
  • Check the address. The Pending row shows the email it went to. If it's wrong, revoke it and invite the right address.

The People page doesn't show whether a team invitation was delivered. (For client invitations it does — see Invite clients to the portal.)

How many invitations you can send

A workspace can send up to 20 invitations an hour and 50 a day, counting team and client invitations, resends and re-addressed ones together. Past that, Timebun says so under the email address — try again later, or the next day.

Does each person cost more?

Only on the Starter plan, which is billed per seat. Each Admin, Team member and Owner takes a seat once they accept; pending invitations and clients never do. Someone you deactivate frees their seat for someone new until your renewal. See Seats on Starter. On Unlimited, adding people costs nothing.

Resend or cancel an invitation

  • To resend, invite the same email address again. The new invitation replaces the old one.
  • To cancel, click the bin icon on the Pending row, then Revoke invitation. The link already sent stops working.

Manage people on the list

Click ⋯ at the end of someone's row to:

  • Change role — switch between Admin and Team member (and Owner, if you are one).
  • Send password reset — email them a link to set a new password. The link expires in 60 minutes; their current password keeps working until they use it.
  • Deactivate — remove their access to this workspace only. Their time stays, and any other workspaces they belong to are unaffected. Tick Include deactivated to see them again and Reactivate them.

You can also add Tags to people to group them, filter the list by tag, and Export the list.

A few limits keep the workspace safe:

  • You can't change your own role or deactivate yourself.
  • Only an Owner can change or deactivate another Owner.
  • The last Owner can't be changed — make someone else an Owner first.
