Expense categories
Categories say what kind of cost an expense was — Travel, Filing fees, Couriers. They're optional: anyone can log an expense without one, and it shows as Uncategorised.
Only Admins and the Owner (shown as Portal admin in the app for now) can manage categories.
Add a category
- Go to Settings → Work → Expense categories.
- Type a Name, for example "Travel".
- Click Add category.
It's offered in the Category list the next time anyone logs an expense.

Rename a category
Click Rename on its row, change the name, and click Save. Expenses already filed under it show the new name.
Archive or restore a category
Categories are archived, never deleted, so older expenses keep their label.
- Click Archive to stop offering it for new expenses. It stays on the list with an Archived badge, and expenses already filed under it keep it.
- Click Restore to offer it again.
The Expenses column shows how many expenses use each category.
Where categories appear
- A badge on each row of the Expenses page.
- On invoices: an expense line reads the date, the project, then the category, then what the expense was — see Billing expenses to a client.
Export CSV downloads the list, archived categories included.
